Library Board Minutes: November 26, 2013

Call to Order: President Bogue called the meeting of the Duluth Public Library Board to order at 4:35 p.m. on Tuesday, November 26, 2013. On a motion by Katz, seconded by D’Allaird, the agenda was approved.

Members Present: Sister Edith Bogue, Jane Brissett, Dan D’Allaird, Virginia Katz, Printha Markert, Megan Oswald, Peter Spooner
Also Present: Carla Powers
Absent: Frank Jewell, Andrew Slade

Minutes: Powers noted that Larson not listed as present at the meeting. She will make that correction. On a motion by Brissett, seconded by Oswald, the library board minutes of the regular meeting of October 22 were approved as amended. 



Reports:

Friends of the Library – Powers
Markert summarized the written report. The 2014 One Book selection is Cellist of Sarajevo by Steven Galloway. This year’s Holiday Book Sale, which will take place at Mt. Royal, will focus on holiday themed books and like-new items suitable for gift giving. The Holiday Book Sale and the Barnes & Noble Book Fair are listed on the library’s homepage, with a link to more information on the Friends’ website.

Duluth Library Foundation – D’Allaird
D’Allaird reported that so far 80 RSVPs have been received for Libations at the Library. Board members are encouraged to respond if they are able to come to the event. Several sponsorships have been sold, which will help defray the costs significantly. The endowment recently passed the $1 million mark. The board offered their congratulations on reaching this milestone. There was brief discussion of how the relationships among the library’s supporting organizations have improved over the years. 

Library Manager’s Report – Powers
Brissett commented about the questions that were asked at the budget presentation. There was discussion about the amount of revenue that overdue fines bring in, which was mentioned by a city councilor during the presentation. There was discussion of scheduling a board meeting at the Mt. Royal Branch sometime this winter. Powers will talk with the branch librarian about this.

 

Old Business:   

Main Library Needs Assessment. There was discussion about the makeup of the citizen committee. A chair for the group still needs to be identified. There was a suggestion that a member of the library board serve as a non-voting chair. Katz asked Brissett if she would consider chairing the committee, and Brissett replied that she would think about it. The consensus was a chair is needed for the initial process of putting together the RFP and selecting a consultant. After that process is complete, a new chair could be selected if necessary. Board members asked Powers to re-send the list of potential committee members for further input.

 

New Business:

Security Assessment of Main Library. Powers reported that Duluth Community Police Officer Nick Lepak toured the Main Library with her and two library supervisors last week. He made recommendations for how to make the building more secure in the event of an “active shooter” emergency. Among his recommendations were labeling doors and corresponding outside windows in areas where people may seek safety, putting up translucent window covering on interior windows in staff areas, and keeping all staff areas locked whenever possible. A staff meeting will take place on December 6 to give staff a chance to discuss the recommendations and begin working on a plan.

“Kindness Audit” of Main Library. Erik Birkeland has approved doing small changes to the library’s configuration while we await the outcome of the facility plan. Powers plans to show staff a video about libraries that have implemented new service models and to put together a committee work on a “kindness audit.” Bogue asked about showing the video to interested board members after a meeting. 

 

Communications/Correspondence: 

Oswald offered a reminder to vote for Locally Laid Eggs in their bid to have a free commercial spot in the Super Bowl.  Bogue shared website about maker spaces in libraries: makeitatyourlibrary.org

 

Adjournment:  The meeting adjourned at 5:25 p.m. The next meeting will take place on Tuesday, January 28, 2014.
